About The Role
We’re hiring a Talent Acquisition & Onboarding Specialist whose single mission is:
Build a predictable hiring engine and ensure every new hire becomes productive, confident, and successful inside Optimite.
This is not an HR admin role.
This is an execution-heavy hiring + onboarding ownership role.
You will own the lifecycle from JD → sourcing → interview coordination → offer → Day-1 onboarding → first-30-days success tracking.

What You’ll Own

1) Talent Acquisition (60%)
  1. Source candidates for design, development, marketing, operations, and support roles using LinkedIn, Instahyre, Naukri, and internal referrals.
  2. Screen profiles and shortlist within 48 hours of JD going live.
  3. Schedule interviews and ensure zero-drop coordination.
  4. Collect interviewer feedback within 24 hours of every round.
  5. Maintain active pipelines for recurring roles (designers, developers, marketers, ops).

Track and improve:
  • Time-to-shortlist
  • Time-to-offer
  • Offer acceptance rate
  • Source quality

Success Looks Like
  • Time-to-shortlist ≤ 2 days
  • Offer acceptance rate ≥ 85%
  • Zero role left without an active pipeline

2) Onboarding Ownership (25%)
Ensure every selected candidate:
  1. Receives clear joining instructions
  2. Attends Day-1 onboarding call
  3. Has all ClickUp onboarding tasks created and assigned
  4. Coordinate with reporting managers to ensure:
  5. Tool access
  6. SOP links
  7. Training materials
  8. Buddy assignment
  9. Track first 7 / 15 / 30 day onboarding milestones.

Success Looks Like
  • 100% Day-1 onboarding task completion
  • 100% new hires attend Day-1 call
  • New hires become independently functional within planned ramp-up period

3) New Hire Success Tracking (10%)
  1. Run simple check-ins with new hires during first 30 days.
  2. Capture blockers, clarity issues, and learning gaps.
  3. Share weekly insights with HR Manager / Founders’ Office.

Success Looks Like
  • Early issues identified before escalation
  • Lower early-stage attrition
  • Positive new hire feedback

4) Hiring & Onboarding Operations (5%)
  1. Maintain hiring tracker and onboarding tracker in ClickUp/Sheets.
  2. Prepare weekly hiring & onboarding status updates.
  3. Suggest small process improvements.

  • Zero data gaps
  • Weekly report shared on time

Requirements
  1. 2–4 years experience in Talent Acquisition, Recruitment, or HR Operations.
  2. Experience hiring for creative, marketing, or agency roles.
  3. Strong follow-up and coordination skills.
  4. Comfortable using ClickUp, Asana, or similar tools.
  5. Clear written and verbal communication.
  6. Organized, reliable, and execution-focused.

Nice To Have
  1. Startup or agency experience.
  2. Exposure to onboarding or L&D processes.
  3. Interest in building systems and improving workflows.
